  Area Website Guidelines

A. 
Purpose.  The purpose of the Website shall be to assist Alcoholics Anonymous (A.A.) in the Tri-County area in carrying the message of A.A. and providing information about the A.A. Fellowship to the public.
 
B. 
Information.  The Website shall present the following information in order for the still-suffering alcoholic to make direct, face-to-face contact with A.A.:
 
1. 
A list of meetings of the Tri-County A.A. groups and A.A. groups affiliated with district 02.
2. 
A listing of A.A. events within or connected to the Tri-County and surrounding area.
 
C. 
Intent.  The Website shall be a Public Information vehicle of the Tri-County Central Office and District 02 and shall present only publicly available information about A.A.
 
D. 
Operation.  Operating within the principles embodied in the Twelve Traditions of A.A., the Website shall specifically, but not exclusively:
 
1. 
Link only to the General Service Office (GSO) and Grapevine Websites.
2. 
Use no individual's name.
3. 
Present no affiliation, endorsement or display of any non-A.A. entity.
 
E. 
Website Registration:
 
1. 
The Website shall be registered with Onsite Computer Service (OCS) as http://www.aajacksonvillenc.org, in the name of the Tri-County Intergroup.
2. 
The Tri-County Intergroup “Chair” shall oversee the domain registration.
3. 
The billing contact shall be the Tri-County Intergroup Treasurer.
4. 
The technical contact with OCS must necessarily be the Website's Internet Service Provider.
5. 
The Tri-County Intergroup “group conscious” shall appoint a Website Coordinator with technical access to the Website.   
 
F. 
Contents.  The Website shall contain the following:
 
1. 
A home page displaying the name of the Website as well as clearly identified connections to the other sections of the Website.
2. 
A schedule of meetings of groups in the Tri-County and District 02 area.
3. 
A list of A.A. events within or connected to the Tri-County area.
4. 
A map of each group showing the locations of each meeting place.
5. 
Links to the GSO and Grapevine Websites.
6. 
A connection to the Website E-mail managed by the Website Coordinator.
7. 
The Guidelines for the Website Coordinator.
8. 
A counter indicating the number of accesses to the Website.
9. 
A list of submitted, public Tri-County Intergroup/Central Office phone numbers.
10. 
A help function for site navigation.
 
 
G. 
 
Information display procedures.  Procedures to submit information for display on the Website shall be as follows:
 
1. 
General Service Representatives, District Committee Members, or designee of District Committee Member:
 
a. 
Shall notify the Central Office of changes to group information listed on the meeting schedule in writing at the business meeting, or by using E-mail or postal mail.
b. 
Shall provide group information to the Central Office in order to add groups to the meeting schedule.
c. 
May request the removal of any or all group information from the Website at any time.
d. 
Shall have the responsibility of verifying the accuracy of group information on the Website.
 
2. 
Voting members of the Tri-County Intergroup shall provide announcements of A.A. events within or connected to the Tri-County Intergroup to be posted on the Website to the Central Office in writing at the business meeting, or by using E-mail or postal mail.
 
H. 
Unilateral actions.  Unilateral action taken by an individual in regard to the website, without prior approval of the Tri-County Intergroup “group conscious” or “Chair” may result in the removal of that individual's technical access to the Website.
 
Website Coordinator Instructions
 
  I.  Job description.  The Website Coordinator is a member of the Tri-County Intergroup serving a two-year term, elected in October of even years (Tradition 9) and responsible for the following:
 
        1. Maintain the web site, updating and incorporating meeting changes, special events, the calendar, and the newsletter (newsletter is pending).
        2. Regular reports to the Intergroup and District 02 regarding website activity.
        3. Responds to e-mails addressed to www.aajacksonvillenc.org.  Questions about responses will be brought to the attention of the “Chair” at the monthly Intergroup business meeting.
        4. Acts as a liaison between web host and the Intergroup.
        5. Makes sure the website hosting fees and annual domain name registration is current, and communicates with the Intergroup Treasurer for payment for those services.
        6. Reports any criticisms and resolution of the criticism at the next Intergroup business meeting.
        7. Acts as chairperson for any regular website committee that is formed.
        8.  Maintain a back-up of the website data on file.
        9.  Monitor the website ensuring its ongoing operation.
      10.  As a trusted servant, make authorized changes to the website, as appropriate and within the limitations of these guidelines.
 
 J.  Web Site Continuity.
The Website Coordinator shall provide the Intergroup with the address and password required for access to the aajacksonvillenc.org server files upon request.  In addition, the Web Site Coordinator shall attempt to enlist a competent backup website assistant who will also be given the same address and password.
 
 
 K.  Authorized links.

        4. Other aa-related links as authorized by the Tri-County Intergroup “group conscious.”
 
L.  Anonymity.  Last names of members will not be used on the web site. Non-personal E-mail addresses will be the primary means of directing communication (for instance, to obtain information about a special event, a person may email the website coordinator who has permission to give more information).   The personal telephone number or e-mail address of a member may be shown only with the explicit documented (written or e-mail) permission of the member.  Any page that includes such personal information must include a conspicuous disclaimer: “Contact information is confidential and to be used for AA related purposes only.”  When requesting such permission, the Website Coordinator should advise the member that risks are involved: they should only consent if they are prepared to handle the impact of “spam” and viruses.  The Intergroup newsletter, meeting schedules and flyers for events will be edited to remove last names and phone numbers of members, except where such permission is given. Forms for 7th tradition donations and group registration may include mailing addresses for donations and registering in District 02. (Tradition 11)
